Set up a Team

In order to be able to use the Teamwork tools in Mail Designer 365, you first need to set up a team. Being part of a Mail Designer 365 team is great, as you benefit from great features such as the Mail Designer 365 Approval service, joint billing, team management, team email alerts and more. Building a team

To get started, head to my.maildesigner365.com and sign in with your equinux ID and password.

Once you’ve logged in, you’ll be greeted by your ​personalised start page​. Here you will see an ​overview of your teams.​ New users are automatically created a team which you can start adding members to straight away.

As an admin, you can change the name of your team in your team’s homepage by clicking on your current team name and selecting “E​dit”​ from the dropdown menu:

Invite team members by going to the “Members” tab and clicking on the “Invite member” button. You will be asked to provide the name and email address of the team member. You will also have the option to assign the team member a role. Use the descriptions to determine which role the new team member should have. If you are unsure, just select “Member.”

Once you are done, click on “Invite” to send a personalised email invitation.

In future, you can manage your team via the “Members” tab. Here you can assign plans and update roles. You can also receive an overview of everyone in your team and any pending invitations.

Lending your design

In order to share comments and feedback with team members, as well as allow team members to see todos you’ve assigned them, you need to lend them your design document.

Lend via the Teamwork tab

Once you’ve finished writing your comments and feedback, click on the “Lend document” button at the bottom of the Teamwork tab.

You will then see a window pop up. Here you can enter the email address of the team member you want to lend to. Please make sure you’re set up to send from your email address first. If you want to add a personalised message, feel free to edit the generic message text in the box below.

Once you are satisfied, click “Lend” to send your design to another team member. Once you’ve lent the document, we advise you do not make any further changes to it, as you will end up with two separate versions of your design.

When your team member receives the design, they will be able to see all of your feedback, comments, and todos, as well as also writing their own. Once finished, they can send the design document back to you in exactly the same way.

Leave a todo

If you want to assign a team member a certain task, you can leave them a todo.

Go to the Teamwork tab in your design window and click on Todos.

Click on the Todo menu and choose a name from the list.

Write the task you want your team member to complete.

Once you are satisfied, hit enter to assign the task. Please note, your team member will only see the task and any other feedback once you’ve lent them the design.

To edit a todo, click on the three dots in the top right-hand corner of the bubble. Your todo text will then be copied back into the comments box for you to edit.

Once you’re happy, resend by hitting enter.

To remove a todo, simply click on the x in the top right-hand corner of the bubble.

Tag a team member in a comment

If you have feedback for a particular team member, you can use the tagging feature to tag them in a comment.

Open the Teamwork tab in your design window.

Go to the comments box and open the Mention list. Click on the team member you want to leave a comment for and their username will appear in the comments box.

Alternatively, you can use the ‘@’ symbol to manually enter a username.

Once you’ve selected the the correct team member, write your comment in the box.

When done, click enter to send the comment into the log. If you made a mistake, click the x in the top right hand corner of the comment bubble to delete the comment.

Creating targeted comments

The Teamwork feature in Mail Designer 365 allows you to attach comments and feedback to specific design elements.

To write a targeted comment, open the Teamwork tab in your design window.

Write a short comment in the comment box.

You can then use the pinpoint tool to connect your comment to a specific layout block using click and drag:

Once you are satisfied, hit enter to send your comment into the log.

Using the Log feature

Collaborative working

Mail Designer 365 is awesome for collaborative working. You can easily work together with your colleagues on one design. You can even leave a comment and review changes.

See document changes 

Collaborative working on a single document can be difficult. With multiple hands on deck, you may need to identify any new changes made. Not only that, you may need to know who made which changes. With Mail Designer 365, you can do this with ease.

Open the Teamwork tab and go to “Changes.” Here you can see all of the changes made to the document as well as who carried out the changes. 

Hover your mouse over an entry. This will allow you to see the exact changes directly in your template.

You can also choose “Disable Logging” to prevent Mail Designer 365 from creating your edit log history. Furthermore, you can choose “Clear Log…” to delete your edit log history.
